Program Manager Job Description (part-time contract position, remote opportunity)

Women Investment Professionals (WIP) is a professional community of approximately 400 members that
enhances women’s opportunities and growth in the investment industry. We accomplish this mission by
providing professional and personal development opportunities, educational programs and networking across
diverse disciplines, functions, and occupations. We are hiring a Program Manager to organize and manage our
events.
The ideal candidate will be a skilled project manager with experience in event execution and management. S/he
will be enthusiastic, organized, detailed oriented, and computer savvy. The Program Manager will work closely
with the Programming Committee of the Board.
Responsibilities
• Assist in planning all virtual and in-person events in accordance with WIP’s mission (approximately 12-15 events
per year);
• Arrange planning calls /meetings with event participants;
• Attend WIP in person/virtual events, help resolve last minute issues, ensure speakers are ready to present;
• Maintain the events calendar (ensure events are evenly distributed throughout the year and coordinate with
Chicago based industry groups to avoid competing events on the same dates as WIP events);
• Contribute ideas / suggestions to enhance the format of events;
• Pro-actively resolve issues and answer inquiries regarding upcoming events;
• Research and secure rooms, caterers, speaker gifts, etc. for in-person events in the Chicago Downtown Area, in
accordance with budget;
• Negotiate contracts with vendors;
• Coordinate with WIP’s Zoom Producer, as necessary;
• Work with Finance Committee to help prepare the programming budget;
• Work with Communication Committee to promote events;
• Coordinate with other board committees as necessary to ensure that WIP hosts quality events;
• Develop and circulate customized attendee post-events surveys, seeking members’ opinions on the timeliness of
events, the quality of the speakers, and areas of interest for future events;
• Develop and analyze KPIs to measure the success of events; and
• Ad hoc tasks and responsibilities, as assigned.
Requirements
• Proven experience as events manager, preferably for both in-person and virtual events
• Skilled in project management
• Knowledge of branding and marketing practices
• Proficient in MS Office Suite, Zoom and Online research
• Strong communication and negotiation skills
• Excellent organizational and time management skills
• A knack for problem-solving
• Customer-service orientation
• A team player with leadership skills
